Thank you for considering Tax Prep Financial Services. We look forward to the opportunity of helping you in your tax preparation needs. Since the beginning, it's been our goal to work with clients to teach them how to properly keep records so they can claim the best possible refund. Having this goal in mind, alongside years of experience helping clients receive their highest refund, we coined our slogan: "Pay Yourself! Not the IRS!"

 

Below, you can find an overview of relevant information for you to know in regards to our services and operations, so you know what to expect as we work with you in the process of preparing your taxes. Our Secure Online Portal

The primary means by which we do business with you is through our Secure Online Portal. Within 48 hours after you submit our New Client Form, you will receive a welcome email from us that includes a link for setting up your account (if we're out of office during that time period, you'll receive one on the next business day). The portal is how we exchange personal documents that are needed for preparing your taxes. It also gives you the ability to remotely sign our Engagement Letter and answer our questions for preparing your tax return. We do not accept documents by email or text message, due to security and logistical reasons. If you ever need assistance with using the portal, please email us at support@jeffthetaxman.com.​

Tax Return Preparation

Introduction

We prepare Personal Income Tax Returns & S-Corporation Tax Returns. We specialize in preparing returns for self-employed individuals who own or operate their own small business, most notably a cosmetics business. We also specialize in preparing tax returns for full-time ministers. Most of our clients file married filing jointly, with one or both spouses owning a small business or working as a minister(s).

With these clients in mind, we've prepared tax worksheets to help clients gather and share their income data with us for preparing their tax return. We require these worksheets before we begin the process of preparing your tax return, and they can be shared through uploading them to your client account in our Secure Online Portal. We can also receive them by mail or physical drop off in our secure dropbox. Please take a moment to review our tax worksheets to find out which, if any, apply to you.

Submission Instructions

Once we set up your account in our Secure Online Portal, we will send you an email request for your income tax data. Included in the email is a link that will take you to where you can set up your portal account. Once your account is set up, please navigate to the "Engagement Letter" button to accept our Terms of Engagement. This is required before we can do any work on your tax return. Also, each year will require a new Engagement Letter, so it's best to practice getting in the habit of accepting our terms before doing anything else in the portal once we send you a request for your tax data.

After accepting our Engagement Letter, please continue submitting your tax data by answering our questions in the portal. This will help us gather the information we need for preparing your return, and is also required before we can do any work on it. Our questions will also help guide you on what required worksheets and tax forms we'll need for preparing your return. Please continue by filling out the needed worksheets and uploading them and your tax forms in the "Documents" section of the portal. Once we've received all of these items, we can proceed with the process of preparing your tax return.

To summarize, these are the items we need before we can begin work on your tax return:

  1. Accepted Terms of Engagement

  2. Answered portal questions (or an Income Tax Data Worksheet)

  3. Your tax forms, and any needed worksheets or other tax documents

Submission Deadlines

Please provide us with up to 6 weeks to prepare your tax return. We prepare 350-400 tax returns every year, and to give each client the best possible refund, we have to take the proper time and diligence to prepare each return accurately. This means that if you'd like your Personal Income tax return to be filed by the IRS's April 15th tax deadline, we will need all of your required items by March 1st.

If you're unable to submit all your tax items before March 1st, we offer to run an estimate and file your return for extension, if everything is submitted by April 1st. We will resume preparing your tax return after the April 15th deadline. If our estimate shows that you owe the IRS, we will contact you, so that you can make an IRS payment and minimize or avoid receiving any late penalties. Please be aware that all we can provide in this instance is an estimate, and that the results of your finished tax return could be different. If we receive your final submission after April 1st, we'll need you to file your own extension, which you can learn how to do here.

If you file your own extension and submit your data after April 1st, we will need to receive everything by September 1st to have your return filed by the IRS's October 15th extension deadline. If you submit your tax data to us after September 1st, it is unlikely we will have your return finished and filed before the deadline, and you will likely receive late penalties plus interest from the IRS. Tax Prep Financial Services does not pay any penalties for you, as the responsibility for properly paying your taxes and getting them filed on time ultimately falls on you, the taxpayer.

If you're a new S-Corporation client, we will need to receive your business's income data by February 1st to have your business return finished and filed before the IRS's March 15th deadline. If you're unable to submit your business data before March 15th, we will file an extension for you. If your S-Corp return receives an extension, we will need all of your data by August 1st to have it finished and filed by the IRS's September 15th deadline. If you do submit your data to us after August 1st, it is unlikely we will finish and file your return by the deadline, and your business will likely receive late penatlies plus interest. Like with our personal tax return clients, Tax Prep does not pay any penalties for you, as the responsibility ultimately falls on you, the business owner.

Here is a list of our deadlines:

  • February 15th: Deadline for submitting tax data for an S-Corporation Income Tax Return without extension

  • March 1st: Deadline for submitting tax data for a personal Individual Income Tax Return without extension

  • April 1st: Deadline for submitting tax data for an estimate and extension on a personal Individual Income Tax Return

  • August 15th: Deadline for submitting tax data for an S-Corporation Income Tax Return with already-filed extension

  • September 1st: Deadline for submitting tax data for a personal Individual Income Tax Return with already-filed extension

Conclusion

Once we receive all of your required items, we will send you a confirmation email with your assigned spot in our tax preparation line. If we develop any questions about your tax return, we will email them to you and put preparation of your return on hold until we receive answers. Once we have finished your tax return, we will send you an email with the results of your return and an invoice. We'll also instruct you to remotely sign the required signature form(s) for filing your tax return. Once we receive your signature(s) and your payment, we will file your tax return for you and upload the accepted copy of your return to the portal for you to download/print.

Tax Return Amendments

If you have a Personal Income or S-Corporation tax return that needs amending, please let us know, and we will send you an email request for you to upload the needed notes/documents to your account in our Secure Online Portal. If this is the first service we provide for you, please let us know you need a Tax Return Amendment(s) in our New Client Form. We will send you a welcome email with a link for setting up your portal account.

If you haven't already, the first thing we'll need you to do in the portal is accept our Terms of Engagement for each tax year that you have a return to be amended. If we didn't prepare your return for that tax year(s), we'll need you to upload a copy of your tax return to the portal in the "Documents" section. Once we have your tax return in the portal, we'll also need you to upload any forms or notes containing information to be included in the amendment.

Once we receive all of the needed items, we will send you a confirmation email with your assigned spot in our tax preparation line. If we develop any questions about your tax return amendment, we will email them to you and put amendment of your return on hold until we receive answers. Once we have finished your tax return amendment, we will send you an email with the updated results and an invoice. We'll also instruct you to remotely sign the required signature form(s) for filing your amended return. Once we receive your signature(s) and your payment, we will file your amended tax return for you and upload the accepted copy to the portal for you.

Tax Liability Estimates

During our slow season (October 15th-January 31st), we offer the service of preparing tax liability estimates. This service will help you get an idea of how much tax you owe(d) over the course of the year, so that if needed, you can make a payment to the IRS to avoid owing up to or after the tax deadline. If this is the first service we provide for you, please let us know you need a Tax Liability Estimate in our New Client Form. We will send you a welcome email with a link for setting up your portal account.

Next, please complete our Tax Estimation Checklist and upload it in the "Documents" section of the portal, as well as any other documents pertaining to the estimate. If we find that we're missing any relevant information, we will contact you. Once we have finished your tax liability estimate, we will send you an email and an invoice. Once we receive payment, we will share the results of your estimate with you to be downloaded in the portal.

We'll reach out to you to set up a date and time, and will take your payment over the phone during the call.

You can also email us your quick questions, as we don't charge for email responses that take less than 15 minutes. However, please be aware that our busiest times are during the fall and spring tax seasons. When we receive client questions during these times, we tend to be slower to answer involved tax questions that don't immediately pertain to a client return that we're working on.​
